Klepper, Hahn and Hyatt is seeking a part-time administrative/marketing assistant to join our team. The ideal candidate will work approximately 30 hours a week assisting the Office Administrator, Principals, and staff with a wide range of administrative and project coordination support activities to ensure efficient operations of the firm.

Essential Functions: (Additional duties may be assigned which are also considered to be essential to the employment position as deemed necessary by a Principal.)

  • Develop and write copy for promotional and informational marketing materials including, but not limited to, brochures, social media and website.
  • Write, edit and proofread technical documents for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Maintain and update various administrative databases, logs, and calendars.
  • Create and edit the design and layout of firm graphics, photos, artwork, and content for presentation materials, advertisements, award submissions, and other firm materials.
  • Coordinate submission teams and create and refine materials for Request for Proposals (RFPs), Requests for Qualifications (RFQs), and award submissions.
  • Assist with digital marketing efforts including website updates, Constant Contact newsletter creation and distribution, and social media. Promote awareness regarding KHH and its various services via the website, Facebook, and LinkedIn.
  • Answer incoming calls and route calls to appropriate person as needed. Handle all inquiries within capacity.
  • Greet and acknowledge visitors in a timely, hospitable, and friendly manner.
  • Handle the receipt, sorting, and distribution of incoming mail and packages, while also preparing and dispatching outgoing correspondence and shipments via mail or delivery service.

Minimum Qualifications:

  • High school diploma or equivalent required, a college degree is preferred.
  • One to three years related experience.
  • Ability to proofread for grammar, spelling and punctuation with a high degree of accuracy.
  • Excellent writing and editing skills.
  • Computer proficiency including Excel, Word, and Adobe Acrobat.
  • Mature, detail-oriented, team player with a high degree of self-motivation.
  • Capable of carrying out a given task with all details necessary to get the task done well.
  • Valid NYS Driver License

Equipment Used:

Computer, printer, photocopier, fax machine, multi-line telephone, scanner, calculator, and postage meter.
Computer Software: Microsoft Office including Word, Outlook, Excel and PowerPoint; Adobe Acrobat, PhotoShop or equivalent.

Physical and Mental Demands:

  • Ability to see, talk, hear, sit, stand, walk, use hands or fingers to grasp, handle or feel objects, reach, crouch, kneel or bend, and perform repetitive motions of hands or wrists.
  • Ability to exert up to 30 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Close mental and visual attention required to perform work dealing primarily with calculating, analyzing, and interpreting data and figures, using a computer terminal for extended periods of time, and/or extensive reading.

Work Environment:

Work is performed in a typical office environment where there is no substantial exposure to adverse environmental conditions.

KHH’s site engineering and landscape architecture work spans the residential, commercial and institutional sectors. Our experiences encompass all aspects of planning and implementation for subdivisions, campuses, commercial development, solar arrays, green infrastructure projects, sports & recreational facilities, and landscape design.

Essential Functions:

  • Prepare SWPPPs with hydrology calculations and erosion & sediment control plans.
  • Prepare construction plans and specifications, including the design of potable water and sanitary sewer facilities, stormwater infrastructure, land grading, driveways, sidewalks, etc.
  • Complete engineering studies and reports for water, sanitary sewer, or stormwater projects.
  • Prepare SEQR documentation and municipal permit applications.
  • Provide office-based construction support with occasional field visits. 

Minimum Qualifications:

  • Bachelor’s degree in Civil Engineering or similar field.
  • Professional Engineer license is required.
  • Familiarity with CAD and computer hydrology programs is preferable.
  • Must be proficient in a Windows environment, including word processing, spreadsheet and database software.
  • Must be able to perform work in both an office and construction environment.
  • Strong written and verbal communication, capable of managing time well and possesses the ability to interact professionally with all those associated with the project.

Essential Functions:

  • Analyze and design structural steel, concrete, masonry, cold-formed steel, and wood-framed structures in conformance with governing building codes and design standards
  • Conduct structural condition assessments of existing buildings and parking structures and prepare engineering reports
  • Collaboratively work with other project team members to prepare contract documents
  • Prepare technical specifications
  • Prepare neat and organized engineering calculations
  • Coordinate work with engineers of other disciplines, architectural teams, and contractors
  • Perform construction administration phase services (submittal review, respond to RFI’s, conduct site visits, etc.)
  • Develop construction cost estimates for structural work indicated on contract documents
  • Review work prepared by less-experienced engineering staff
  • Mentor one or more junior staff engineers, interns, or designers
  • Project checking in accordance with QA/QC procedures

Minimum Qualifications:

  • Bachelor’s Degree in Structural or Civil Engineering required
  • Professional Engineer (PE) license required
  • Minimum of 4 years of structural engineering building design experience required
  • Understanding and application of code requirements
  • Experience in using various structural analysis software
  • Ability to meet deadlines
  • Excellent verbal and written communication skills
  • Proficiency in AutoCAD, Revit, and Microsoft Office
  • Valid driver license

  • Excellent verbal and written communication skills (English)
  • Valid driver’s license

The ideal candidate will be responsible for assisting the project manager and project team with project documentation and control, job cost accounting, scheduling, and construction supervision efforts. In order to be successful, this candidate should feel comfortable taking on many tasks that require various skills, and appropriately prioritizing those tasks’ completion.
